Welcome to SmallGroupOS

If you are a youth minister, you already know the feeling. You are doing some of the most important relational work in the Church - walking with teenagers through the hardest years of their lives - and your toolkit is a spreadsheet, a group text, and maybe a shared Google Drive folder someone set up three years ago.

That is why we built SmallGroupOS. Not another generic church management system that treats youth ministry as a line item. Not a corporate CRM with a cross on it. SmallGroupOS is a platform designed from the ground up for the specific, messy, beautiful work of youth ministry.

The name says what we believe. Small group ministry deserves real infrastructure, not another binder. SmallGroupOS is the layer your groups run on. It tracks the people, runs the games, surfaces who needs a follow up, and gets out of the way so leaders can do the actual work. Tools that match the seriousness of the ministry, finally.

SmallGroupOS is built around seven modules, each tackling a real challenge youth ministers face. Play turns youth night into something students actually want to come back to with live games, mood checks, and brain dump walls. The Funnel tracks every student's discipleship journey so nobody slips through the cracks. Threshold helps you see where students are spiritually without reducing faith to a checkbox. Flare gives your team crisis response protocols when a student is in trouble. Parent Partnership Loop keeps parents engaged without drowning anyone in email. Signals lets leaders coordinate in real-time during events. And Forms handles registration, permission slips, and payments - all in one place.

This is not about profit margins or investor returns. Every dollar goes back into building better tools for the people who show up every week for students. We keep a generous free tier because we believe every minister deserves access to great tools regardless of their budget.

We are just getting started, and we would love for you to be part of this. Sign up, try the tools, tell us what works and what does not. This platform is being built with ministers, not just for them. Your feedback shapes everything.

Welcome aboard. Let's go deep together.

Why We Built the Form Builder

Every youth minister knows the drill. Retreat season hits and suddenly you are juggling paper permission slips, a Cognito Forms page for registration, a separate Google Form for dietary restrictions, Venmo requests for payment, and a spreadsheet to track who actually paid. Nothing talks to anything else. Kids fall through the cracks. Parents get frustrated. You spend hours reconciling data that should have been connected from the start.

We built the SmallGroupOS form builder because ministry forms have unique needs that generic tools simply do not address. You need payment processing with reference IDs so your bookkeeper can reconcile deposits. You need student records that connect to the rest of your ministry data. You need bilingual support because your community speaks more than one language. You need the ability to duplicate last year's retreat form and update the dates instead of rebuilding from scratch.

The Forms module handles all of this in one place. Build custom forms with a drag-and-drop editor. Accept payments with automatic reference IDs. Collect uploads like insurance cards and signed waivers. Set payment caps and split funds between ministry accounts. Every submission connects to your student records, so registration data is not stranded in a separate system.

If you have been wrestling with form tools that were never built for what you do, give it a try. We think you will feel the difference immediately.
